What information do we collect?

Depending on how you interact with Between-Us Groups, we may collect:

  • information you provide when joining our mailing list, registering for an event, or applying for or joining a Between-Us Group;

  • information necessary to administer bookings and payments;

  • information associated with your participation in an online event or programme.

Payments

Payments for paid Between-Us Groups programmes or events may be processed through third-party payment providers such as Stripe or PayPal.

These providers process payment information under their own privacy and security arrangements. Between-Us Groups does not itself store your full credit- or debit-card details.

Online groups, events and recordings

Between-Us Groups programmes and events may take place using Zoom or another online meeting platform.

Some sessions may be recorded. Where a session is to be recorded, participants will be informed in advance as part of the programme information provided to them. Zoom displays an on-screen indication when recording is in progress.

Recordings are stored in the Business's Zoom cloud account and are normally retained for up to twelve months for purposes connected with the delivery, review and development of Between-Us Groups programmes, after which they are deleted, unless participants have been explicitly informed of and agreed to a different arrangement.

Because Between-Us Groups involves genuine conversation between participants, we recognise that recordings may contain personal contributions. We therefore treat recordings with particular care and do not make them publicly available without appropriate permission.

Facilitators and contractors

Between-Us Groups may engage independent contractors, including facilitators, to help deliver its programmes.

Where necessary for the delivery of a programme, a facilitator may have access to relevant participant information and will be required to respect its confidentiality and handle it in accordance with applicable privacy requirements.

The Business remains responsible for the administration of Between-Us Groups and for its data-protection responsibilities.

Who else processes information?

We use third-party services to operate our website, communicate with participants, run online meetings and process payments.

These may include:

  • Systeme.io — website hosting, registration, email and related services;

  • Zoom — online meetings and recordings;

  • Stripe and/or PayPal — payment processing; and

  • other service providers reasonably necessary to operate Between-Us Groups.

These organisations may process personal information on our behalf or, in some circumstances, as independent data controllers.

Our website is hosted through Systeme.io. Systeme.io states that its servers are hosted by Amazon Web Services in Ireland and that data stored through its service are held securely within the European Union.

Cookies and website analytics

The Between-Us Groups website uses cookies and similar technologies that are necessary for the website to function.

If we introduce non-essential cookies, analytics or tracking technologies, we will provide appropriate information and obtain consent where required by law.

How long do we keep your information?

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting or administrative requirements.

Different kinds of information may therefore be retained for different periods.

Zoom recordings are normally retained for up to twelve months.

Mailing-list information is normally retained until you unsubscribe or ask us to remove it, subject to any minimal information we may need to retain to ensure your preference is respected.

How do we protect your information?

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access or disclosure.

Information held through our website and online services is stored using reputable third-party service providers with appropriate security measures.

For administrative purposes, we also maintain participant and mailing-list records on a password-protected computer with security software installed. Access to these records is limited to those who need the information for the administration and delivery of Between-Us Groups.

International data processing

Some of the service providers we use may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we seek to use providers and arrangements that provide appropriate safeguards in accordance with applicable UK data-protection law.

Your rights
